From Guest List to Wedding Seating Chart: A Practical Workflow

A wedding seating chart is easier to manage when the guest list, room layout and exact seat assignments live in one place. The difficult part is rarely drawing circles on a page. It is keeping every change understandable as RSVPs arrive, family groups shift and the reception layout becomes more concrete.

This walkthrough uses fictional guests in SeatingKit, a free wedding seating chart maker: https://seatingkit.com/. It shows the actual workflow rather than a prepared slideshow.

  1. Start with the guest list you already have

You do not need to retype every name. Paste a list from Excel or Google Sheets, or import a CSV or XLSX file. Before anything changes, review the detected columns and the number of guests that are ready to import.

That preview matters. A name column should map to guest names, RSVP information should map to RSVP status, and optional planning details should stay in the right fields. Confirm only after the preview matches the source list.

SeatingKit can retain a complete guest list. Free planning supports up to 100 active guests; additional saved guests remain in the project but cannot be seated until the relevant access is available.

  1. Build the reception room

Choose a starting layout or begin with a blank room. Add round or rectangular tables and place important reception features such as the entrance, dance floor, stage, bar and cake table.

The room remains editable. Tables and venue objects can be moved, resized, rotated, duplicated, aligned and locked. Larger screens provide more room for detailed layout work, but the same planner is formally supported on desktop, tablet and mobile.

A useful first pass is about structure, not perfection: place the major fixed elements, create enough chairs for confirmed guests and keep practical walking space around the room.

  1. Assign exact chairs

A table number alone may not be enough. SeatingKit lets you place a guest in an exact chair, move someone to another chair or swap two people who are already seated.

This makes late changes easier to understand. If two guests need to switch places, select the occupied chairs and exchange them without rebuilding the table or losing the rest of the plan.

  1. Keep relationship rules visible

Guest groups and seating preferences help explain why a placement works or does not. When a relationship rule creates a conflict, keep the rule visible, move the affected guest and check that the warning clears.

The tool does not replace human judgment. It gives the planner a visible record of the constraint and the resulting change.

  1. Review suggested seats before applying them

When some guests are already seated, use the remaining-seat proposal to place the others. The proposal is a review step: current assignments remain committed while the suggested result is shown separately.

Check the impact before applying it. The demonstrated workflow keeps the existing seats fixed, proposes seats for the remaining guests and commits the result only after confirmation.

  1. Export something people can use

A finished planning canvas is not the final job. Guests may need an entrance board, while coordinators and vendors need different views.

Preview the guest board by table, then download the branded PDF. The demonstration opens the actual downloaded A4 file and verifies every fictional guest name against the seating plan. SeatingKit also provides branded PNG output and a raw guest export in the free workflow.

Always check every name and table before relying on an exported file. Free projects are stored in the current browser and device, so keep an external backup before the wedding and before moving to another device.
